Yoga & Therapies
What personal information I collect:
In order to fulfil my services, I need to know certain personal information, and in order to continuously improve my services I may collect additional information.
Much of it is for the purposes of meeting insurance company criteria as well as for your health and safety at yoga. Health information is also used to tailor sessions to suit your individual needs.
All information gathered by Woodland Elements either on paper or digitally is treated as confidential and will not be shared with a third party. Once received, all information is stored digitally in secured GDPR compliant systems and any paper copies are shredded.
My insurance company request that I keep a record of my customer’s data and registrations for seven years after your last class with me.
If you wish to alter any of your data, review how it is used or wish to request its return to you, please contact Diane Oliver on [email protected] or 07701029819.
You may, of course, decline to submit personally identifiable information to Woodland Elements, in which case Woodland Elements may not be able to provide certain services to you.

When booking either online, or on paper, you will be asked to sign a disclaimer. In doing so you are agreeing to your email and phone number being used by Woodland Elements to inform you of class changes and service updates directly relating to the service you have booked.

I may use your email to contact you about the service that you have booked, to send further information or collect different information.
Woodland Elements Mailing List
I send direct marketing emails informing you of new, future or alternative services approximately once or twice a month. These are sent through a secure permission-based email system called MailChimp (see their Privacy Policy at www.mailchimp.com). When you attend a service from me or tick the opt in box on the health form, you are added my MailChimp email list. Subsequent subscription preferences may be changed by you at any time.
Phone Numbers
I may, from time to time, use your phone number to contact you about class changes. I will only do this if you have booked the class in question. If you do not wish me to contact you in this way, please inform me in person or by emailing [email protected].
Emergency Contact Information
Emergency Contact information is collected solely for use in an emergency, should Woodland Elements need to contact the person named or give this information to the emergency services. This is the only information that would be shared with a third party, and only in the context of an emergency.

All bookings and personal information is directly handled through an external holiday let agency - Sykes Holiday Cottages (see their Privacy Policy at https://www.sykescottages.co.uk/terms/privacypolicy)

Cancellation and Rescheduling – General Information
I believe in having a clear, simple to understand cancellation and rescheduling policy to help avoid confusion and to form clear boundaries.
Listed below are my cancellation policies for when you book yoga classes, a yoga course/series, a private session or a workshop.
All Classes and Workshops
At this time, all classes and workshops are non refundable. An alternative, online recording may be offered at Woodland Elements' discretion as a replacement for your booking.
Online Private Sessions
You can cancel your booking up to 48 hours before the workshop or session is due to start - you will be eligible for a refund less any fees paid to process your booking (eg Square / PayPal fees which I pay) or to use your payment as credit against alternative available services - please use the online booking system or contact me by email to arrange refund or rescheduling. Please note that Social Media (Facebook, Instagram etc) is not accepted as a suitable form of communication to cancel.
In Person Private Sessions
You can cancel or request to reschedule your booking up to 72 hours before your session is due to start. If your session is due to happen in your own home, you will be eligible for a refund less any fees paid to process your booking (eg PayPal fees which I pay) or to use your payment as credit against alternative available services - please contact me by email to arrange refund or rescheduling. If your session is in an external venue then you will be eligible for a partial refund/credit less any expenses I have incurred such as venue hire or pre-booked travel eg accommodation. Please contact me by email to arrange refund or rescheduling. Please note that Social Media (Facebook, Instagram etc) is not accepted as a suitable form of communication to cancel.
Cancellation of a Class, Workshop, Course or Retreat by Woodland Elements
On occasion, it may be necessary to cancel a class, course, private lesson or workshop or retreat. Should I ever cancel, I will refund you in full to the value of what you paid for the class, course, private lesson, workshop or retreat.
Timetable changes
Woodland Elements reserves the right to make schedule changes or cancel classes where necessary.
